Prepare For The 4th Quarter IFTA Deadline Now!

Congratulations on another year behind the wheel! 2020 was a wild year for all of us (especially truckers).

There’s no telling what 2021 will have in store for you as you keep on truckin’. We’re sure you’ve come up with some great new years resolutions. One resolution you should add is getting started on the 4th quarter IFTA deadline that’s coming up on February 1.

Prepare For The 4th Quarter IFTA Deadline

Your 4th quarter IFTA return is due in about a week so we’re here to help you prepare for the deadline. If you need a little refreshing, IFTA is the International Fuel Tax Agreement put in place by the 48 contiguous United States and 10 Canadian provinces.

It was created in order to simplify the reporting of fuel used by qualifying motor vehicles that travel between at least two or more jurisdictions. The collected taxes are redistributed among the jurisdictions.

Your vehicle qualifies for IFTA reporting if it:

  • Has two axles and a gross vehicle weight exceeding 26,000 pounds
  • Has two axles and a registered gross weight exceeding 26,000 pounds
  • Has three or more axles regardless of weight
  • Or has a combination weight exceeding 26,000 pounds.

In order to comply with IFTA, you will apply for your IFTA license with your base jurisdiction or home state and keep it in your cab at all times. You will also receive two IFTA decals that you will need to keep on your driver’s side door at all times. Plus, you will need to complete your IFTA return four times a year.

You will need to provide the following information to complete your IFTA return:

  • Total miles traveled per jurisdiction
  • Total gallons of fuel consumed per jurisdiction
  • Total tax paid gallons of fuel purchased per jurisdiction
  • And the current tax rate per jurisdiction.

If you fail to complete your IFTA return you will have some penalties to face and they aren’t cheap. If you fail to file by the deadline you will face a penalty of $50 or 10% of the total amount due, depending on which amount is higher.

Then you will face a monthly fee of .4167% of the tax due until you fully pay the amount you owe. States also reserve the right to impose their own penalties and revoke your IFTA license, which would park you!

Check out ExpressIFTA

But you don’t have to worry. ExpressTruckTax has a sister-product called ExpressIFTA that makes IFTA reporting incredibly easy online. You can track all of the totals you need to complete your return in one convenient location!

The last thing you want to think about is the same old taxes.

Well… we’re here to remind you that despite all the new things, the 4th quarter IFTA fuel tax deadline is still coming up on February 1, 2021.

Sad? Don’t be. There’s a way to finish your IFTA reporting fast to avoid IFTA tax late penalties and interest. Here’s everything you need to know to generate your report in time.

Finish IFTA Reporting Before the Deadline

The International Fuel Tax Agreement

The International Fuel Tax Agreement was created to simplify fuel reporting by qualified vehicles operating in more than one jurisdiction.

You’re going to need to complete IFTA filing if you have a qualified vehicle, which is any vehicle designed, maintained, and/or used to transport people or property.

In addition, qualified vehicles have:

–  Two axles and a gross vehicle weight exceeding 26,000 pounds or
–  Two axles and a registered weight exceeding 26,000 pounds or
–  Three or more or
–  A combination weight exceeding 26,000 pounds.

Thanks to the International Fuel Tax Agreement, you’ll only have to file your IFTA tax with your base jurisdiction, which is where your vehicle is registered.

Each jurisdiction has different IFTA filing rules, so be sure to check this list

IFTA Reporting

IFTA reporting is filed 4 times a year with your base jurisdiction to ensure the proper allocation of fuel tax.

Keep track of your IFTA fuel tax mileage and fuel records to help IFTA reporting go smoothly each deadline.

To complete your IFTA fuel tax, you’ll need your business details, vehicle details, and miles & fuel records.

These records include:

–  Total miles (taxable and nontaxable) traveled in all states, regardless of whether or not they participate in IFTA, including all trip permit miles
–  Total gallons/liters of fuel consumed (taxable and nontaxable) in all states, regardless of whether or not they participate in IFTA
–  Total miles and total taxable miles traveled in each member jurisdiction
–  Total taxable gallons consumed in each member jurisdiction
–  Tax-paid gallons/liters purchased in each member jurisdiction
–  Current tax rates for each member jurisdiction This information is necessary for generating your IFTA tax return.

Today is the 3rd Quarter IFTA Deadline

Before we drive headlong into today’s IFTA reporting deadline, let’s review the basics of what you need to know.

What is IFTA?

If you are asking yourself “What is IFTA?” then you are in worse shape than I expected. But don’t worry I got you. The International Fuel Tax Agreement, or IFTA, quarterly fuel tax report allows you to travel in all participating member jurisdictions with a single fuel tax license. To operate in two or more jurisdictions, you are required to have an IFTA sticker and license.

You receive your IFTA stickers and license through you base jurisdiction which is your home state or where your vehicle is registered. Your IFTA license needs to be renewed annually in December. When you hold an IFTA license, you are required to file an IFTA quarterly fuel tax report that shows and calculated how much fuel tax you owe (or are credited) to remain compliant.

In short, IFTA is used to report and determine the net tax refund that’s due and to redistribute taxes from collecting states to due states. This agreement is between the lower 48 United States and 10 Canadian provinces, this regulation was put into place to simplify fuel reporting by those who use qualified motor vehicles.

Your vehicle qualifies for IFTA reporting if:

  • Has two axles and a gross vehicle weight exceeding 26,00 pounds
  • Has two axles and a registered gross weight exceeding 26,000 pounds
  • Has three or more axles regardless of weight
  • Or has a combined weight exceeding 26,000 pounds

To complete your IFTA report you need to provide the following information:

  • The total miles traveled per jurisdiction
  • The total gallons of fuel consumed per jurisdiction
  • The total tax paid gallons of fuel purchased per jurisdiction, and
  • The current tax rate per jurisdiction

Should I Report Reefer Fuel On My IFTA Return?

IFTA tax is a quarterly tax, meaning there are 4 IFTA deadlines.

The 3rd quarter IFTA deadline is November 2 – Are you prepared?

IFTA reporting covers a multitude of states, each with different rules.

So, what are the specific guidelines on reefer fuel and how do they affect IFTA filing?

IFTA Filing & Reefer Fuel

Reefer Fuel

A reefer is a refrigerated trailer or shipping container used for transport of temperature-sensitive cargo.

Refrigeration units that use reefer fuel are not taxed like other fuel.

The main takeaway is that reefer fuel is NOT included in IFTA filing when it is used to power the refrigeration unit of the trailer.

You should always purchase reefer fuel on a separate fuel receipt when fueling your power unit.

Pumping reefer fuel on the same fuel receipt will lower your MPG and cost you more IFTA fuel tax. Plus, in the event of an IFTA audit, you will be penalized and incur added interest.

IFTA Reporting Guidelines

You’re entitled to a tax refund on every gallon of reefer fuel purchased. To complete the federal tax refund form, you’ll need the total number of gallons purchased during the tax year.

In return, the IRS will send you a check for the amount of federal tax paid on each gallon.

If you forget to file for this refund, you can file up to 3 years back to claim it after the fact.

Before you start IFTA reporting, you’ll want to check with your base jurisdiction to see how they handle reefer fuel.

For instance, in some states if you have only one tank that both propels your vehicle and runs refrigeration, all fuel is included in IFTA fuel tax. If you have two separate containers, you’ll need to fuel separately and keep receipts.

Check with your base jurisdiction to make sure you understand their specific process for reefer fuel.

File IFTA Online

IFTA reporting can be tricky, but save yourself the time and headache when you file IFTA online.

ExpressIFTA will generate your IFTA fuel tax form for you, as well as accurate IFTA fuel tax calculations.

To file IFTA online, simply create a free account, enter your information, and generate your IFTA fuel tax form.

Then, all that’s left is to file your IFTA fuel tax with your base jurisdiction.

What is the 3rd quarter IFTA deadline?

The 2020 3rd quarter IFTA reporting deadline is November 2, 2020, since October 31 is a weekend.

You need to generate your IFTA report before the deadline, file it with your jurisdiction, and pay your tax owed to avoid penalties.

Generate your report with ExpressIFTA

Our sister-product ExpressIFTA makes IFTA reporting easy! Their system takes all your mileage and fuel information and generates automatically calculated reports and/or worksheets that you can use to file with your base jurisdiction.

They take into account all IFTA rate changes for your base jurisdiction and calculates your owed tax for you. Plus, ExpressIFTA accepts bulk data upload from spreadsheets and GPS units, cutting down on your manual data entry!

Their cloud-based solution makes it possible to start entering your data now! Your data will be saved to your account so you can come back and finish at the end of the month.
