7 Common E-filing Mistakes to Avoid

With pre-filing season in full swing and the regular filing season peeking over the horizon, there are some common mistakes we should address.

Time and time again filers tend to make the same mistakes when it comes to filing their heavy vehicle use taxes. So let’s go over them so they’re fresh in your mind when you e-file or pre-file this tax season!

1. Incorrect EIN or VIN

Your EIN is your Employer Identification Number, and your VIN is your Vehicle Identification Number, and both are equally important. In order to file your HVUT, you will need to know both, and both will need to be correct. So check, double check, and triple check if you have to, because if those ID’s are even one letter or number off, your return could be rejected by the IRS. And nobody wants that! But if it does happen, don’t fret! You can retransmit rejected returns for free with us!

2. Computation Errors

We know tax calculations can be hard, but that’s why when you e-file with us, our system will calculate the amount due for you! Now you don’t have to worry about doing all that complicated tax math. All you have to worry about is what you need to pay and remembering your EIN and VIN so you don’t make any errors on your tax forms. 3. Incorrect Filing Status

If you know you will travel fewer than 5,000 miles on public highways during the tax year, then you should file your vehicle as suspended. This saves you time and money, and if you ever exceed the mileage limit, you can always submit an Amendment through ExpressTruckTax!

4. Incorrect Filing Year

If you’re pre-filing this month, like all of the cool kids, be sure that you’re selecting the correct tax year! Instead of electing to file for the current tax year, you want to select advance filing for the 2015-16 tax year. Like so:

5. Duplicate Vehicle Information

You definitely don’t want to enter a single vehicle more than once, but if you do accidentally enter details for the same truck twice, you can remove it easily by clicking the “remove” button next to the duplicate vehicle.

6. EIN Not Registered

It takes up to 10 business days for a new EIN to be entered into the IRS system. So if you don’t have one yet, you need one ASAP! That way you’ll be prepared in time to still pre-file before the tax season begins July 1. If you already have your EIN, don’t forget you have to wait for the IRS to activate your EIN before you can e-file! If you don’t, you’ll keep getting an EIN Not Registered error when you try to begin your HVUT.

7. Incorrect First-Used Month

This error might not get your return rejected, but it will cause some problems when it comes time to get your new tags. The tax year for HVUT begins July 1st. This means that for all renewals, the first-used month is automatically July—even if you’re filing in August! There is only one instance where you would choose a later month, and that’s if your truck is purchased after the beginning of the tax year. For example, if you purchase a new truck in September, then that would be the first-used month.

What it all boils down to in the end, Trucking Nation, is to make certain you check, re-check and re-check your taxes again before hitting submit. You never know what you could miss!

Step 3: Review and Submit

1. Is my HVUT renewal due the same time my vehicle registration renewal is due?

No. Although you need a current stamped Schedule 1 to renew your tags, they are not necessarily due at the same time.

Every year the HVUT renewal period opens July 1st and closes at the end of August. All renewals must be filed and taxes paid during this period, regardless of when your vehicle registration is due. If you wait to file your renewal until you need your tags, you will owe additional late fees on top of the heavy vehicle tax. When filling out your Form 2290 for your renewal, your first-used month is automatically July.

2. My taxable gross weight has increased. Do I need to file a new Form 2290?

No, but you may need to file a Form 2290 Amendment, which can also be easily E-filed through ExpressTruckTax.

3. My credits are greater than the tax due. How do I get this money back?

4. Can I pay my HVUT with a debit or credit card?

No, the IRS no longer accepts tax payments in the form of a debit or credit card. However, you may pay our E-filing fee with either.

The IRS only accepts payments from Direct Debit (Electronic Funds Withdrawal), EFTPS, or by Check or Money order. When paying by check or money order, be sure to attach a 2290-V payment voucher. If you E-file with us, we’ll automatically create a completed payment voucher for you!

Form 2290 Taxable Vehicles: What is an Agricultural Vehicle?

If our Support Heroes had a nickel for every time they heard this question, they’d all be flying private jets right now!

And that question is: Can I file my vehicle as an agricultural vehicle?

Depending on your vehicle type and how you use it, the tax rates and filing requirements vary. This is just one reason why it’s so important to categorize your taxable vehicle correctly when filing your HVUT Form 2290.

We recently discussed the different requirements for logging vehicles, which are vehicles used solely for the transport of forested materials. Logging vehicles are taxed at a lower rate than typical heavy vehicles, so if you drive a logging truck, be sure the check “used for logging” to be taxed at the lower rate!

Another type of taxable vehicle with special requirements is the agricultural vehicle.


Agricultural Vehicles & Higher Mileage Limits

Vehicles typically required to file HVUT are those with a taxable gross weight over 55,000 lbs and that travel over 5,000 miles on public highways throughout the tax period.

BUT to give farmers a break, the IRS made the requirements a bit more lenient for vehicles used in agriculture. Agricultural vehicles, regardless of their weight, are allowed to drive up to 7,500 miles on public highways each year before having to pay any tax at all!

Just to clarify, this does not mean that you don’t have to file HVUT at all. If your gross vehicle weight is over 55,000 pounds, you must still file HVUT and receive a stamped Schedule 1. However, if your agricultural vehicle will drive fewer than 7,500 miles throughout the tax year, you will owe zero tax when you file! This is known as filing a Category W or a Suspended/Low Mileage Vehicle.

Does My Vehicle Qualify as an Agricultural Vehicle?

To ensure that your vehicle qualifies as an “agricultural” vehicle according to IRS standards, here are the two requirements your vehicle must meet:

  • 1. The vehicle is used primarily for farming purposes throughout the tax year. But what does the IRS consider “primarily for farming purposes”? It’s actually quite simple. More than half of the vehicle’s total mileage for the year must be used for farming purposes.

    And a farming purpose, according to the IRS, is any activity that contributes to the conduct of a farm. This can include activities such as transporting goods to and from a farm (goods like livestock, produce, animal feed, fertilizer, etc), direct use in agricultural production, or just performing work around the farm like repairing fences, building irrigation ditches, clearing land, etc. 

-AND-
  • 2. The vehicle is registered as an agricultural vehicle in your state. Although your vehicle must be registered as such, no special license plates or tags marked “agriculture” are required to maintain your status as an agricultural vehicle.

If your vehicle meets both of these requirements above, then you can file as an agricultural vehicle with a higher mileage limit! Woo hoo!

To file as a suspended agriculture vehicle, skip the first “Taxable Vehicle” section of the 2290, and instead enter your vehicle’s information under the “Low Mileage/Suspended Vehicle” section. And be sure you check the box “Used for Agriculture.”


Exceeding the Mileage Limit

Occasionally, agriculture vehicles will be filed as Suspended (Category W) at the beginning of the tax period, but then exceed the 7,500 mile limit during the year.

If your vehicle goes over, you must file a Form 2290 Amendment for a Mileage Increase. The amendment is due by the end of the month following the month in which you exceeded the limit. This means that if you went over 7,500 in January, then the amendment must be filed by the last day of February.

When filing the mileage increase amendment, the IRS will prorate your HVUT for the remaining months of the tax year (which runs from July 1st to June 30th each year). This means that even though you will owe some tax, it will not be the full amount you would’ve owed if you had filed as a non-suspended vehicle initially. Hooray, for lower tax!

-Select the amended month, the month in which the weight change occurred.
-If you E-filed your 2290 with us this year, select the vehicles to be amended from that return and choose the new weight class.
-If the return was not filed with us, enter the vehicle’s VIN and the new weight class.

E-FILING 101: Frequently Asked Questions for Filing Form 2290

  • Q: What is my first-used month?
A: For most people, the default answer is July.The HVUT tax year opens July 1st. So this means that the first-used month for all renewals is automatically July. Even if you’re filing in August or September, the first-used month must still be set back to July if you’re vehicle was driven that month. The only time you’d select a later month is if the vehicle is purchased later in the year.

  • Q. What is the taxable gross weight of my vehicle?

A: The taxable gross weight of your vehicle can be determined by adding three numbers together. 1. The unloaded (empty tare) weight of the vehicle, plus 2. The unloaded weight of any trailers customarily attached to the vehicle, and 3. The weight of the maximum load customarily carried in the vehicle and/or attached trailers. The sum of these three figures is your taxable gross weight.

  • Q: Does the IRS take credit cards?

A: No, but we do! While you can pay our fee with a credit card, the IRS no longer accepts tax payments via credit card. We do, however, still offer three convenient methods of payment: Direct Debit, EFTPS, and Check or Money order. Direct Debit, also called Electronic Funds Withdrawal, is the fastest way to pay, but it’s only available to E-filers! You provide your bank account & routing number, and the IRS initiates a Direct Debit from your bank account.

EFTPS is a free service through the US Dept. of the Treasury, but you must register with this system 5-7 business days prior to when you need to make a payment. Also, the payment must be scheduled at least 1 business day prior to the payment due date!

Finally, if you pay by check or money order, you’ll get your Schedule 1 back even on a weekend or holiday! Just don’t forget to mail your 2290-V payment voucher with your check, but don’t staple them together! The completed voucher can be found on page 5 of your 2290; we autofill it for you!

  • Q: Why am I entering two methods of payment?

A: While you can pay us by credit card (only $9.90 for those with a single truck!), you will also need to select one of the three payment methods above to pay your taxes to the IRS.

  • Q: How do I make VIN corrections?
A: The answer: easily! If your return is rejected for a VIN error, such as a duplicate filing error, we’ll help you find the mistake, fix it, and retransmit it to the IRS for free! But only if you E-filed with us! If you made a VIN error, but your return was accepted by the IRS, then you can quickly E-file a Form 2290 Amendment. Simply log back in as a Returning User, click “Start” under 2290 Amendment, then “Start” under Form 2290 VIN correction. You’ll receive your updated, stamped Schedule 1 as soon as the IRS accepts the correction!
