The Countdown is On: E-file Before the HVUT Deadline

If you haven’t filed your Heavy Vehicle Use Taxes for this year, then you’re running out of time! You have less than a month left to e-file by the due date on August 31.

But before you e-file there are some things you need to know to get started. From your EIN, VIN, and Gross Vehicle Weight to the actual e-filing process, we’ve got you covered!

What You Need Before you E-file

  • Your EIN
  • Access to Internet
  • Computer, Tablet, or Smartphone
  • Your VIN
  • Your Gross Vehicle Weight

Once you have all that, it’s time to e-file. All you have to do is follow the simple guide below, then you’re all done!

How to E-file

Step 1: Account Setup

  • If you’ve created an account with us, simply login to your account.
  • If you’ve never created an account with us before, then go ahead and hit “Create Account”, then enter your email address and a password of your choosing to get started.
    • Pro-tip #1: To save time, you can also choose to login with your Google account or your Facebook Account. 
  • Now you need to enter all your business details, including your EIN, business name, and any signing authority you may have. 
  • Then you can move on and e-file your 2290 for the current tax year.

Step 2: Vehicle Details

  • Now you need to add all of your vehicle information. If you’re a returning user, you can select the trucks you filed for previously using Truck Zone. 
  • If you are a new user, you can input your vehicle information one of two ways: 
  • You can choose to do it manually, entering one truck at a time
  • Or you can upload all of your trucks in one fell swoop from a, Excel file.
  • And remember, there are three different types of vehicles you can file for. So know the differences!

Step 3: Pay & Securely Transmit

  • Now all you need to do is select your payment method and transmit your return!
    • Pro-tip #2: The IRS only accepts three payment methods: Direct Debit, EFTPS, and check or money order. They do not accept debit or credit cards.
  • After you’ve decided how to pay, review your details on last time and make sure everything is correct. Our system will also review your information for you, just in case. 
  • Then you can securely transmit your return to the IRS, and get your Stamped Schedule 1 back via email in minutes.

How to E-file On-the-Go

To e-file with our new apps in a flash, all you need to do is follow three simple steps!

Account Setup

  • If you’ve never filed with us before, then you’ll need to set up your account. In order to do this, simply select “create new account” or choose to login with your Google+ or Facebook account.
  • If you’re a returning user, simply enter your information and login.
  • Now you can enter in your business details and your EIN number. Again, if you’ve filed with us previously, you can simply use the same business details and EIN that you filed with last year.
  • Then choose to file for the current year and move on to step two!

Vehicle Details

  • After you’ve entered your business information and selected to file for the current tax year, the next step is to enter the information for your vehicle or vehicles. 
  • You can do this in a number of different ways. You can import them from a CSV file, you can enter them in manually, or if you’ve filed with us previously, you can import them from your virtual garage in TruckZone.
    • Pro-tip: There are three different kinds of vehicles you can enter. Make sure you’re entering them all on the right screen or you may have to file an amendment (and owe the IRS more money).
  • At the end of this step you can enter in any low mileage credits, and then quickly and easily move on to step 3!

Pay & Transmit

  • The final step in the e-filing process is to pay and securely transmit your return to the IRS.
  • Simply select your payment method from the three types the IRS accepts: Direct debit, EFTPS, and check or money order. Then review your information and securely transmit your return to the IRS.
  • Your Stamped Schedule 1 will follow any minute. It’s just that easy!

If you’ve already e-filed your previous year’s heavy vehicle use tax with ExpressTruckTax, then it’s time to get in the fast lane and FastTransfer your tax info to this year’s return.

Here is everything you need to know about how to use the FastTransfer Feature in ExpressTruckTax:

  • Step One: Login to your account and select “Start” under Form 2290
  • Step Two: Choose your first use month 
  • Step Three: If you have a previous year’s return that has been accepted by the IRS, the FastTransfer Feature will ask whether you want to continue with the previous return or want to create a new one. Select “Continue” under “Previously Accepted Return.”
  • Step Four: On the next screen, under Action select “Copy this Return”
  • Step Five: If there are any changes that need to be made, you can make them here. Otherwise, select “Review” to check your Form 2290 for any errors.
  • Step Six: Submit your return to the IRS.

Don’t Wait or You’ll Be Late: E-File by the May 31st Deadline

Although the start of the 2015-16 tax year is right around the corner, there are still reasons for many of you to file for the 2014-15 tax year, today. If you’ve been waiting until the last minute to take care of your HVUT, then it’s officially your time to shine. However, there are many other reasons besides procrastination that warrant filing, so let’s see who should be E-filing today.

Who Needs to E-file NOW:

1. Those With a First Used Month of April 2015

For all new vehicles, you have until the end of the month following the vehicle’s first use month to file your 2290. For example, if you purchased a vehicle and first put it on the road in April of 2015, then you have until May 31, 2015 to file the 2290 for that vehicle without incurring late penalties.

2. Those Who Haven’t Already Filed for the 2014-15 Tax Year
If you have not already filed your 2290 for trucks that have been used throughout the 2014-15 tax year running from July 1, 2014 through June 31, 2015, you should E-file immediately. All those E-filing for the 2014-15 tax year for trucks used before April of 2015 are already late and will incur penalties. But the sooner you file, the lower the penalty, so get on it asap!

3. Those Who Sold, Traded In, or Lost the Vehicle They Filed for This Tax Year
If you had a vehicle that was sold, stolen, traded in, or lost that you already filed taxes on for the 2014-15 tax year, then you will need to file a credit vehicle on your 2290. Some refer to this as “Transferring a 2290” from an old vehicle to a new one. Filing with a credit vehicle allows you to receive tax credits on taxes already paid for the 2014-15 tax year on the old vehicle. This way, you won’t end up paying any extra tax to get that Schedule 1 for your new ride. I’m Late… Now What?

The IRS imposes a penalty of 4.5 percent of the total tax due, assessed on a monthly basis for up to five months. In addition to this penalty, interest will accrue on the total amount at .54 percent per month, and the IRS can also impose an additional monthly penalty equal to .5 percent of the total tax due.

Also note that International Roadcheck 2015 will be taking place from June 2, 2015 through June 4, 2015, so now is as good a time as ever to ensure that your vehicle is on the road legally by renewing its tags and registration. At the end of May and June brings the registration deadline for several different states, including Massachusetts, Pennsylvania, Rhode Island, Missouri, West Virginia, and Maine.

If you are a driver in any of these states then you need to E-file as soon as possible, if you haven’t already. Last Call for E-Filers: IRS Scheduled Maintenance Starts Friday 12/26

We’ve got breaking news, Trucking Nation, straight from the IRS!
At the end of each year, the IRS typically shuts down the MEF (Modernized E-file System) for maintenance. This is the online system through which we submit all IRS Forms filed through ExpressTruckTax.

Well they’ve just confirmed that as of this Friday, December 26th at 1:30 pm the IRS MEF will in fact be blacked out for maintenance and is scheduled to reopen around January 9, 2015.

So, most importantly, how does this affect you and any return you attempt to E-file?

  • If you use ExpressTruckTax, you will still be able to E-file and submit a return. Our system will hold the return and submit it the second the MEF reopens on the 9th.
  • During this maintenance, you will not able to receive confirmation of your submission from the IRS, nor will you receive a stamped Schedule 1 for the return until after the system reopens.
  • If your first-used month is November 2014, then you must submit your return by 1:30 this Friday to be considered on time.

    Although the due date is technically December 31st for those whose first-used month is November, the IRS will not be time-stamping returns submitted during the blackout, and therefore, your submission will only be considered on-time if it’s submitted prior to the maintenance. 

If for any reason you need your return time-stamped before January 9th, or if you need your stamped Schedule 1 before then, then it’s time to start E-filing!

Just be sure to submit your return before Friday afternoon, and you’ll be in good shape!

Damage Control: Minimizing HVUT Late Penalties

This one is for all the late filers out there! You know who you are.

So you missed the Form 2290 deadline for vehicles first used in July, now what? Perhaps you forgot to mail your check on time? Well, you aren’t alone. Whether you’re an early bird or the latest late filer there is, the Support Heroes at ExpressTruckTax are still here for you!

The good news is, there’s always a second chance! HVUT can be filed at any point during the year, but the sooner you act, the better! The later your return or payment is, the higher the cost to you.

Let’s talk about what kinds of penalties you can expect and how to minimize the damage.

First, the IRS will send you a postal notification, explaining what penalties will be charged and how to pay them. The penalties will likely be one of the two below:

  • Late Filing Penalties: 4.5% of the total tax due will be added to your total each month that you remain un-filed past the deadline, for up to 5 months.
  • Late Payment Penalties: .5% of the total tax due will be assessed each month your payment is late, plus an additional interest charge of .54% per month.

Reporting false or fraudulent information to the IRS will also incur penalties as well, so be sure all information is correct!

Of course, there aren’t only federal penalties for these offenses. There are ramifications in each state as well. Many states will suspend your vehicle registration until a valid, stamped Schedule 1 is presented (a receipt for filing HVUT).

This all sounds daunting, so here’s some more good news! The penalties may not be charged if you can show reasonable cause for your late filing or late payment. So when you do send either, be sure to attach an explanation, and it may save you big bucks in penalties!

You know what they say, better late than never! And that certainly applies here. The sooner you get caught up with the IRS, the better.

2. Have all of your documents on hand. So you’ve used the Tax Calculator app, and you know what to expect. It’s time to get down & dirty and E-file. What do you need nearby?
  • Business name & address matching what the IRS has on file. If you’re unsure, quickly call them to verify 1-800-829-4933.
  • EIN: An Employer Identification Number registered with the IRS is required to file a return. The IRS no longer accepts Social Security Numbers in their place. If you don’t yet have an EIN you can register for one free through the IRS at www.irs.gov/businesses/small or by calling 1-800-829-4933. Of course, if you don’t have time, our sister company ExpressTruckTax Plus can register your EIN for you- same day- relieving stress and saving your wallet from the pricey scams out there! 
  • VIN #’s: This 17 digit number is a unique code for each vehicle. If you’re new to ExpressTruckTax, you can Bulk Upload this information from a CSV or Excel file, even if it’s hundreds or thousands of trucks at once! This will shave precious minutes off of your filing time!
  • Gross Vehicle Weights: Selecting the appropriate weight category is critical for paying the right amount of tax. To determine your vehicle weight, add the unloaded weight of the truck with the empty weight of the trailer, plus the maximum load weight it customarily carries. And there you have it!
  • Payment Info: When E-filing, you’ll enter two forms of payment. While you can pay our E-filing fee with a credit card, the IRS does not accept them. You can elect to pay your truck taxes by Direct Debit, EFTPS through the government, or by Check or Money order. 
3. Select the correct First-Used Month– July! For all renewals, the first-used month is July, even if you’re filing in August or September. Only choose a later month if the vehicle is purchased later in the year. An incorrect first-used month will lead to an incorrect payment amount.

4. Indicate whether your trucks are used for Logging. The term “logging” only refers to those trucks used to haul trees, not logging of miles or fuel. Again, choosing incorrectly here will lead to an incorrect amount of tax-owed.

5. If you’re a returning user, select vehicles from Truck Zone OR Copy a previous year’s return! These are two massive time-saving features for our beloved returning guests! 7. Promptly mail your payment. After transmitting your return, the IRS expects prompt payment of your taxes.   • Q: When is the last day to file my 2290?

A: The deadline for HVUT renewals is typically August 31st; however, due to the holiday weekend, the IRS has extended the deadline to the day after Labor Day, September 2nd. While Sept. 2nd is technically the last day you can file, it is certainly ill-advised.

  • Q: Why is my tax not $550?
A: It’s true that the standard tax is $550 yearly for a heavy vehicle. However, there are several variables that determine the tax rate, such as the gross weight and use of the vehicle. If you’re used to paying $550, but you ended up with a different figure, double-check your info for these possible errors.

1. Did you select the correct first-used month? For all renewals, the first-used month is July, even if you’re filing in August or September. 

2. Did you select the correct gross vehicle weight?
3. Did you mark it as a “Logging Vehicle”? Only select this if your truck is used to haul trees.

  • Q: Can I copy a return from a previous year?
A: Yes! If you’ve E-filed with us before, you can select a previous year’s return to upload to the current year. You can also still make alterations to the return if any of your information has changed. Simply select “Start a New Return,” and you will be prompted to copy info from a previous return.
